The Biggest Wedding Planning Mistakes (And How to Avoid Them)

Planning a wedding is one of the most exciting experiences of your life. But, it is also easy to get caught up in the trends, opinions, and endless scrolling through inspiration online. As a wedding planner, I’ve seen couples make avoidable mistakes. The good news? Most of them are easy to prevent, with planning and the right mindset. Here are some of the biggest wedding planning mistakes and my best advice on how to avoid them. 

#01: Planning for Pinterest Instead of Real Life 

Social media is everywhere. Pinterest, Tik Tok, and Instagram are full of ideas and inspiration. While they can be a wonderful source of inspiration, these platforms can often create high and unrealistic expectations. In the world of media, a lot of the weddings you see online either have unrealistic, styled shoots, or unlimited budgets. And some photos are created using AI. 

We’re not saying don’t look online for inspiration. Instead use these platforms as inspiration for a starting point, not as a wedding planning checklist. Select ideas that fit you and your partners’ personality. Your wedding should feel like you and your partner. You shouldn’t worry about fitting someone’s highlight reel of being “Instagramable.” 

#02: Blowing Your Budget on Things Your Guests Won’t Remember

Many couples can often overspend on trendy decor while overlooking experiences that guests will forget about afterwards. Guests will remember the following: 

  • Great food 

  • Comfortable seating 

  • Fun entertainment 

  • A smooth sailing timeline 

  • Meaningful moments. 

So, instead of adding another floral installation, or spending time and money on decor in areas that are not necessary, consider investing in your guest experience and guest comfort instead. 

#03: Forgetting the Moments “In Between” 

Most couples carefully plan the ceremony and reception but can often forget about all the moments in between. We’re talking about those moments of transitions. As you begin to plan, do not forget to think about your guests waiting in between events.

Here are some areas that you will need to plan for. 

  • Will you have a large break between the ceremony and reception?

  • Do you have entertainment during your cocktail hour? 

  • How will you and your guests get from location to location? Transportation planning is a MUST if you have more than one location. 

  • If your reception is a few hours, do you have plans for late night snacks?

  • Will your guests have comfortable spots to sit throughout the ceremony and reception? 

These may seem like small details, but they help create a seamless experience for all. 

#04: Booking Vendors without Asking About Communication 

Communication is necessary and great communication isn’t always the norm. You should always meet with vendors prior to booking and paying your deposit. Ask every vendor: 

  • How quickly do you respond to emails? 

  • Who will be my main point of contact? 

  • How many meetings are included in my contract?

  • What happens when there is an emergency? 

A responsive vendor and productive, positive communication can reduce stress throughout your planning journey. 

#05: Trying to Please Everyone

This may be the biggest mistake of all. There is an immense amount of pressure when it comes to planning a wedding. Parents have opinions. Friends have opinions. Social media has opinions. But through each stage of planning, remember whose wedding it is. 

Before making any decisions, ask yourself… “Would we choose this if nobody else has an opinion?” 

If the answer is yes, you’re probably making the right choice, if it is not – think about your priorities and what is important to you as a couple. 

#06: Ignoring the Wedding Day Flow

It is so easy to get lost in the beautiful decor and all the little details. But, it is important to remember that beautiful weddings aren’t just about the details. It is about the movement, the flow. Think about the flow of your wedding day for you and your guests. 

  • Is the venue easy to find and visible? 

  • Is parking accessible and easy? 

  • If outdoors, is there enough shade? 

  • Will guests know where to go next? 

  • Are there long waits between events? 

  • How will the dinner reception run? 

A wedding that flows effortlessly feels luxurious, regardless of the budget. 

#07: Waiting Too Long to Make Decisions 

Decision fatigue is real. We all have it from time to time. Many couples postpone decisions because they are worried about choosing the perfect option and that is when the “freeze” happens. 

The reality of it all? There are usually several great choices, not just one. And it is okay to think logically. What fits in your budget? What style do you prefer? What vendors do you vibe with. Once you’ve done your research, trust your instincts and move forward. 

#08: Not Having a Backup Plan 

Even indoor weddings need contingency plans. Never, ever, plan your wedding without a plan B. Things happen and you’ll need to consider: 

  • Weather changes

  • Vendor delays

  • Traffic

  • Power outages

  • Illnesses

  • Equipment Failures 

Of course you always want to hope for the best, but you will want to have a Plan B. Talk to your vendor, venue, and wedding planner about your options for possible scenarios. Then, create your back up plan. 

#09: Forgetting to Schedule Time Together 

Ironically many couples spend very little time together on their wedding day. The day will be one of the busiest days and the moments move by quickly. You will want to build intentional moments into your timeline. Plan on adding a private first look and five minutes after the ceremony. Talk to your caterer about holding a private cocktail session in a quiet space. Have them prepare and send some appetizers your way and enjoy a signature cocktail in private. Schedule in some time for golden hour photos with no distractions, just you and your partner. 

These are often the most memorable moments, the little pockets of peace throughout your wedding day. 

#10: Thinking the Wedding Ends at the Reception 

The guest experience begins before the ceremony and continues after the reception. As you begin to plan, and throughout planning, think about the guest experience. Small touches throughout make a lasting impression. 

  • A helpful wedding website featuring important information 

  • Clear directions for the day of 

  • Local recommendations for out of town guests 

  • A thoughtful, non-generic, thank you message and/or card after the wedding day (send out no more than six weeks after the wedding) 

These details create a complete celebration and show appreciation throughout the wedding event. 

Bottom line, don’t chase perfection. Something will go differently as planned. A flower may not arrive in the right shade, someone may arrive late, a whole table may not show, but your guests will not remember the tiny imperfections. They will remember the joy, the laughter, and the love that filled the room. The most unforgettable weddings are not perfect, they are personal. 

When you focus on what truly matters, connection, comfort, and celebration - your confidence and enjoyment for the journey will shine. 

Your Month-by-Month Wedding Planning Timeline

Your special someone popped the question. All of the happy tears flowed and you’ve been admiring that sparkling ring every chane you get. First, congratulations! Now begins one of life’s most magical adventures… planning your wedding! 

Between your Pinterest boards, cake tasting, dress fittings, and dreaming about your first dance, wedding planning can feel like a beautiful whirlwind. But, what’s the secret? Take it ONE MONTH AT A TIME. 

We’re about to give you our best advice - a timeline that will act as your fairy godmother. Let us gently guide you through every wedding planning milestone so you can enjoy the journey just as much as the destination. 

Grab your cup of coffee or your celebratory glass of bubbly and let’s count down to your happily ever after! 

12 Months Before: Time to Begin Your Love Story’s Next Chapter! 

Every fairytale starts with a Pinterest board and a dream, right? But before diving into endless inspiration photos, spend time just imagining your day together. 
Will you exchange vows beneath twinkling garden lights, inside a grand ballroom, or with the sound of the ocean waves as your soundtrack? Once you’ve painted that picture, it is easier to bring it to life. This is the perfect time to: 

  1. Set a realistic wedding budget. Crunching numbers is the first task that needs to be completed. Will you pay for the wedding yourselves? Or will you have family contributions? 

  2. Hire a wedding planner, or consider a day of coordinator. We highly recommend that this is an added portion of your budget. 

  3. Draft a guest list of everyone you’d love to celebrate with. 

  4. Choose a wedding day, or range of dates that feel right. 

  5. Select a venue that has the appropriate capacity, availability, and feel for your wedding day. 

These are the five, first steps to beginning your wedding journey. Be sure to conquer these first, in advance (if you can!). 

10-11 Months Before: Gather Your Dream Team 

No magical celebration comes together without a cast of talented helpers. Now it is time to book the people who will transform your vision into reality. Think photographers who capture joyful glances, florists who create breathtaking blooms, caterers that delight every guests with each bite, and musicians or a DJ who keep the dance floor moving all night long. 

During this time, begin to shop for your wedding dress. Don’t worry if you do not experience the instant “This is the one!” moment. Sometimes the perfect gown quietly steals your heart when you expect it. 

8-9 Months Before: Sprinkle in the Personal Touches 

These months are the time to make your wedding uniquely yours. This is the fun part. Say yes to your dress, choose accessories that make you feel radiant, and coordinate attire for your wedding party. 

Schedule your engagement photo session and capture this exciting chapter together. These are also a great opportunity for your upcoming save the dates. 

You’ll want to create a wedding website for your guests, so they have all the important details in one place. Your guests will appreciate a central hub to refer to, especially if they’ve misplaced your wedding invitation (it happens). 

If your loved ones are traveling from afar, or if it is a destination wedding, reserve hotel accommodations to make their journey as comfortable as possible. If the majority of your guests are making a long journey to travel to your wedding, you will want to send out save the dates well in advance. You want to give your guests enough time to plan for travel accommodations, such as airfare. 

Every thoughtful detail becomes another stitch in the tapestry of your big day! 

6-7 Months Before: Let the Magic Bloom!

By now, your wedding day is beginning to feel wonderfully real. 

If you haven’t mailed your save the dates, you’ll want to do this now. Ensure you include important information such as the day, time, location(s), and your wedding website. While your save the date can be brief, ensure that your wedding website outlines the important details that guests must know. 

Meet up with your florist to dream up bouquets. To stay on budget, look for seasonal blooms! 

If you are planning a honeymoon, this is also the perfect time to book your flights, accommodations, and begin imagining sunsets in your future destination. 

4-5 Months Before: The Details Start to Come Together

With your wedding day approaching, the puzzle pieces are starting to fit together. 

Now is the time to taste delicious dessert or cake flavors! This is one of our favorite planning tasks. Set up a tasting with your caterer and finalize your reception menu. Meet with your DJ or band and choose music that will keep the energy flowing and tell your story as a couple. 

Order your invitations and select your stamps. Then, begin your dress fittings!

If you are creating or doing some aspects of DIY, such as decor, signs, or favors, start getting materials and crafting now. You don’t want to leave these sessions to the end and don’t be afraid to get creative with family or friends. 

3 Months Before: The Invitations Take Flight 

There is something so wonderful about dropping off your invitations into the mailbox. Suddenly, your celebration feels official. As the RSVPs start arriving, continue to organize the details of your wedding day. 

Purchase your wedding rings, meet with your officiant to go through the ceremony details, arrange transportation (if needed), and begin mapping out your wedding day schedule with your planner or coordinator. 

Schedule your hair and makeup trials and handle any last accessory shopping for the big day. 

2 Months Before: Tying Up Loose Ends

With the big decisions behind you, now comes the satisfying task of polishing all the details. 

You will want to either delegate this next task, or handle it yourselves, but you will need to follow up with guests who haven’t responded. Once you’ve heard back from your guests, finalize guest counts with your caterers and bartenders. You will want to create and organize your seating charts as well. Seat guests next to friendly faces, or folks that you know will keep the conversation flowing. 

Attend your second dress fitting and ensure you have proper fitting undergarments. 

If you are preparing welcome bags or wedding favors, gather everything together and enjoy checking another task off your list. 

It is amazing how all the little details suddenly come together to create one unforgettable day. 

1 Month Before: The Countdown Begins 

Only one month remains until you say “I Do!” You will want to apply for your marriage license, making final vendor payments, and prepare gratuities. Assemble a small wedding day emergency kit, unless your wedding planner handles that for you. Add safety pins, tissues, stain remover, comfortable shoes, snacks, and anything else that helps you feel prepared. 

Pack your bags for the day of, and for your honeymoon. Have your planner send the draft copy of the timeline to all parties necessary. 

Most importantly - give yourself plenty of time to simply enjoy the final weeks of your engagement. 

One Week Before: Soak Up Every Moment 

The finish line is in sight, and excitement fills the air.

Confirm your final guest count, attend your rehearsal, pack everything you'll need, and break in those wedding shoes if they still feel a little stubborn.

Practice your vows, but don't worry about delivering them perfectly. The words that come from the heart are always the most beautiful.

Take quiet moments with your partner whenever you can. Soon you'll be surrounded by joyful celebration, so these peaceful moments become especially meaningful.

Wedding Day: Your Happily Ever After Begins 

This is the day you’ve been dreaming about has finally arrived. 

Wake up slowly, enjoy a nourishing breakfast, and let yourself smile at the excitement dancing all around you.

As the music begins and familiar faces gather, remember that this day isn't about flawless flowers or perfectly timed schedules.

It's about the look you share before walking down the aisle. It's about laughter echoing across the reception. It's about happy tears, warm embraces, spontaneous dance moves, and the promise you're making to one another.

Those are the moments that become treasured memories long after the last slice of cake has disappeared.

Wedding planning isn't about creating perfection, it's about creating moments filled with love, laughter, and meaning. Some plans may change, the weather may surprise you, and tiny details might not unfold exactly as imagined. And that's perfectly okay.

When Should You Start Planning Your Wedding?

As a wedding planner, one of the most common questions I hear from couples is: “When should we start planning our wedding?” The answer depends on your wedding vision, guest count, location, and how involved you want to be in the planning process,  but the general rule is simple…the earlier you begin, the more options and flexibility you’ll have.

Planning a wedding is more than choosing flowers and selecting a menu. It’s creating an experience that reflects your story, coordinating dozens of moving pieces, and bringing together a team of professionals who will help make your day unforgettable.

While every couple’s timeline looks a little different, here is my recommended wedding planning timeline from our, a wedding guru’s, perspective.

The Sweet Spot

The ideal wedding window is 12-18 months. That’s the sweet spot.  For many of our couples, starting the planning process 12 to 18 months before the wedding is the sweet spot. This gives you enough time to make thoughtful decisions without feeling rushed.

During this stage, I recommend focusing on the biggest decisions that shape your entire wedding. This begins with defining your wedding vision. Before booking vendors or choosing décor, take time to think about the feeling you want your wedding to create.

Ask yourselves:

  • Do we want an intimate gathering or a large celebration?

  • Do we imagine a formal evening or a relaxed outdoor experience?

  • What details represent us as a couple?

  • What moments matter most?

Your wedding style becomes the foundation for every decision that follows. Whether your dream is classic elegance, modern luxury, romantic garden charm, or something completely unique, having a clear vision helps guide the planning process.

Next, establish your budget. Your budget determines your priorities and helps you make informed decisions. A wedding planner’s role is not only to create beautiful events but also to help couples understand where their investment creates the biggest impact.

Start by discussing:

  • Total wedding budget

  • Guest count

  • Must-have experiences

  • Areas where you’re willing to invest

  • Areas where you’re comfortable simplifying

A realistic budget early on prevents unnecessary stress later.

When you are done creating your budget, your first major decision is selecting your venue. This will influence most of your wedding planning. 

Your venue is one of the first major decisions because it influences almost everything else:

  • Wedding date

  • Guest capacity

  • Layout

  • Decor possibilities and mood boards

  • Vendor requirements

  • Overall atmosphere and guest experience.

Popular venues often book far in advance, especially for peak wedding seasons. If you have a specific location or date in mind, starting early gives you the best chance of securing your first choice.

Start Building Your Vendor Dream Team

You’re officially 9 - 12 months in. Once your venue is secured, it’s time to bring together the professionals who will help bring your wedding vision to life.From my experience as a planner, the best weddings happen when couples create a strong vendor team that works well together.

Key vendors to consider booking:

  • Wedding planner or coordinator

  • Photographer

  • Videographer

  • Caterer

  • Florist

  • Entertainment

  • Hair and makeup team

  • Rental companies (tables, chairs, linens etc.)

Many couples underestimate how quickly top vendors book. The vendors who match your style, personality, and budget are often reserved months in advance.This is also a great time to begin your design process. You’ll want to start gathering information for color palettes, floral styles, tablescapes, lighting, stationary, and overall guest experiences. 

It is important to remember that  inspiration is the starting point, not the final design. Your wedding should feel personal, not like a copy of a Pinterest board.

It’s Time to Create the Guest Experience 

It’s 6 - 9 months away from your big day. At this point, your wedding begins to take shape. Now we focus on the details your guests will experience.

Wedding attire often requires more time than couples expect. Dresses, suits, and accessories may involve ordering, shipping, and alterations.

You’ll need time to complete dress appointments, suit fittings, alterations, accessories, and wedding party attire. 

You’ll also need to plan the ceremony. The ceremony is the heart of the wedding day and the first taste of your wedding day your guests will experience. Consider what moments feel meaningful to you. Determine whether you’d like to include personal vows, family traditions, special readings, or unique ceremony experiences. 

Think about your guests’ comfort throughout the wedding day. The most memorable weddings are because your guests feel cared for. Consider transportation, seating comfort, weather plans, food and beverage experience, welcome gifts, and any special touches you’d like to include. 

Remember the smallest details can leave the biggest impression. 

Refine the Details 

You have less than 6 months left until you say “I do”. Your wedding is finally starting to take shape. This is where the planning turns into production. You’ll begin finalizing:

  • Invitations

  • Menu selections

  • Cake design

  • Rentals

  • Decor details

  • Music selections

  • Timeline ideas

This is also the time to create your wedding website, finalize your registry, and send important information to your guests.

This stage is where organization becomes incredibly important. A detailed planning system helps keep track of contracts, payments, design decisions, and deadlines. I cannot stress this enough, it is never too late to hire a wedding planner or day of coordinator for support! If you need support, reach out. 

Finalizing Your Wedding Plan 

The final months are about bringing all the details together. A big focus for the final steps is to hold final meetings with your vendors. You will want to review every important detail:

  • Timeline

  • Setup instructions

  • Floor plans

  • Special requests

  • Final payments

Your vendors should have a clear understanding of your expectations. Communication should be clearly established for the day of. 

Once RSVPs are finalized, begin organizing your reception seating. Consider guest relationships and create an atmosphere where everyone feels comfortable.

Last, you’ll want to gather important items:

  • Marriage license

  • Rings

  • Personal vows

  • Accessories 

  • Emergency kit (check with your planner!)

  • Special keepsakes

Our best advice is to prepare these items early so the final days before your wedding are focused on celebrating.

Our Final Thoughts

So, if you’re reading this and you’re thinking “what if my wedding is in less than 12 months?”.  We know that not every couple has a year or more to plan. But, regardless of the timeframe, beautiful weddings can absolutely be created on shorter timelines.

If you’re planning within 6 months, the priorities become the following:

  1. Secure your venue

  2. Book essential vendors

  3. Establish your budget

  4. Make design decisions efficiently

  5. Stay organized

A wedding planner can be especially valuable with a shorter timeline because they know which decisions need to happen first and how to streamline the process.

Even though planning a wedding with little time is possible, we still recommend giving yourself ample room to plan. Planning early is not about making your engagement feel like a never ending checklist. It’s about giving yourself space to enjoy the process. Creating an organized process will allow you to make thoughtful decisions, choose vendors that you truly love, avoid any last minute stress, create a cohesive design, and most importantly.. You will ENJOY your engagement! 

Our bottom line - your wedding day should feel like a celebration, not a deadline. 

The “right” time to start planning your wedding depends on your goals, but giving yourself 12–18 months is ideal for creating a meaningful, personalized celebration. The most successful weddings aren’t defined by how many details they include, they’re defined by how intentional those details are.
